These Terms of Service (“Terms”) govern your access to and use of the website located at www.thatsmyvibe.com.au (the “Site”) and any related services, features, content, or applications offered by That's My Vibe (“we”, “us”, or “our”). By booking our services or using the Site, you agree to comply with and be bound by these Terms. If you do not agree to these Terms, you must not use the Site or book our services.

2. Acceptance of Terms
2.1 By using the Services, you agree to be bound by these Terms, as well as any additional terms, guidelines, or policies that may apply. We may update these Terms from time to time, and any changes will be posted on this page with a revised “Effective Date.” It is your responsibility to review these Terms regularly. Continued use of the Services after changes are posted constitutes your acceptance of those changes.
Booking Confirmation
- A booking is considered confirmed only after deposit payment has been processed and a booking confirmation email has been sent.
Booking Changes or Cancellations
Changes: Any changes to your booking (e.g., date, location) must be requested at least 28 days in advance of the event. Additional fees may apply at our discretion depending on the nature of the change such as location.
Cancellations: Cancellations made more than 14 days before the event will receive a full refund minus any deposit paid, at our discretion. Cancellations made less than 14 days prior to the event will not be refunded unless rescheduled or modified by That's My Vibe at our discretion.
Wet Weather: In the event that the weather takes a turn for the worst on the day of your event we recommend a wet weather option. Please refer to our Refund Policy for further details.
Force Majeure: In cases of unforeseen circumstances (e.g., natural disasters, severe weather, or other emergencies), your booking may be rescheduled or refunded at our discretion.
3. Use of Services
3.1 Eligibility
You must be at least 18 years old to book or use our services. By booking an event or using the Site, you represent that you are at least 18 years old and capable of forming a binding contract.
3.2 Booking an Event
To book a glamping, pop-up picnic, or teepee event, you must provide accurate and complete information, including details of your event (e.g., date, location, services required), contact information, and payment details. We reserve the right to cancel or refuse bookings if the provided information is incomplete or inaccurate.
3.3 Event Details
Once you’ve booked an event, we will confirm the event details, including any special requests, with you. We may need to adjust our services or setup depending on site availability, weather conditions, or other unforeseen circumstances.
3.4 Age Restrictions for Certain Services
Certain event packages or activities may have specific age restrictions, such as family-friendly glamping or adult-only events. These will be noted in the service description and must be followed.
4. Services and Packages
4.1 Glamping, Popup Picnic, and Teepee Events
We offer a variety of event packages, including:
Pop-up Picnics
- Pop-up picnics include the setup and pack-down of hired items, such as crockery, tableware, glasses, seating, and décor. Customised picnic themes and menus are available at our discretion. Final guest numbers must be confirmed at least 14 days prior to the event.
Glamping Services
- Glamping services include the delivery, setup, and removal of glamping equipment (e.g., Bell tents, mattresses, cushions, and décor). Additional items or custom requests can be made for an extra fee, at our discretion.
Teepee Sleepovers
- Teepee sleepover services include delivery, setup, and removal of teepees, bedding, lights, and décor. Customised themes are available at our discretion to suit your event.

4.2 Customization
We offer a range of add-ons and customizations such as decorations, food and beverage services, and additional equipment. These will be subject to availability and may incur additional costs.
4.3 Limitations
We reserve the right to limit the availability or services provided based on factors such as location, weather conditions, and booking availability.
5. Payment and Pricing
5.1 Pricing
All prices listed on the Site are in Australian Dollars (AUD) and include GST, unless otherwise stated. Prices may vary depending on the size and complexity of the event or package you select. We reserve the right to update prices at any time, but changes will not affect confirmed bookings.
5.2 Payment
A non-refundable deposit is required at the time of booking to secure your event date. The remaining balance is due at least 14 days before the event. We accept payments via card or bank transfer. If payment is declined or not received, the booking will be voided, and no Services will be provided at our discretion.
5.3 Additional Fees
Additional charges may apply for services such as extra furniture, late-night pickup, travel fees (if the event is outside our service area), or additional hours. These will be discussed with you prior to the event.
6. Cancellations, Rescheduling, and Refunds
6.1 Cancellation by Client
- More than 14 days before the event: Full refund minus the deposit.
- Less than 14 days before the event: No refund of the deposit, but you may reschedule your event within 12 months, subject to availability.
- Less than 7 days before the event: No refunds or rescheduling.
6.2 Cancellation by Us
We reserve the right to cancel or reschedule events due to reasons such as extreme weather conditions, unforeseen circumstances, or any other reason beyond our control. If we need to cancel your event, you will be offered a full refund or the option to reschedule.
6.3 Wet Weather: In the event that the weather takes a turn for the worst on the day of your event we recommend a wet weather option. A wet weather option will be required or we may be required to cancel your event, you will be offered the option to reschedule.
6.4 Force Majeure
We are not liable for any delays or failures in performance due to events beyond our control, including natural disasters, strikes, or other force majeure events.
7. Event Requirements and Responsibilities
7.1 Client Responsibilities
You are responsible for ensuring that the event location is suitable for our services (e.g., access, space, and conditions). This includes:
- Securing permission to hold the event at the chosen location (e.g., public parks, private properties).
- Ensuring that the event site is accessible and safe for our staff and equipment.
- Providing sufficient lighting if the event is outdoors or occurs at night.
- Arranging for any necessary permits or insurance.
7.2 Damage and Loss
You are responsible for any damage to our equipment or property caused by you or your guests during the event. We may charge for any repairs or replacements required due to damage.
7.3 Weather Conditions
We will monitor weather forecasts leading up to your event. In the event of adverse weather conditions (e.g., storms, high winds), we may need to reschedule or make adjustments to the event. If weather is expected to impact your event, we will work with you to find the best solution. It is our recommendation that you have a backup location selected in the event that weather conditions impact your even.
8. Privacy Policy
8.1 Privacy and Data Collection
Your use of the Site is governed by our Privacy Policy, which explains how we collect, use, and protect your personal information. By using the Site, you consent to our collection and use of your data in accordance with our Privacy Policy.
8.2 Third-Party Services
We may use third-party service providers for payments, event coordination, or marketing. These third parties are subject to their own privacy policies, and we encourage you to review them.
9. Disclaimers and Limitations of Liability
9.1 No Warranty
The Site and Services are provided “as is” and “as available.” We make no guarantees, express or implied, regarding the suitability or quality of our services for your specific needs.
9.2 Limitation of Liability
To the fullest extent permitted by law, we are not liable for any indirect, incidental, or consequential damages arising from your use of the Site or Services. Our total liability to you is limited to the amount you paid for the service related to the event.
10. Governing Law
These Terms are governed by and construed in accordance with the laws of the Australian Capital Territory (ACT), Australia. Any disputes arising from these Terms will be subject to the exclusive jurisdiction of the courts of the ACT.
11. Miscellaneous
11.1 Severability
If any provision of these Terms is found to be invalid or unenforceable, the remainder of these Terms will remain in full effect.
11.2 Entire Agreement
These Terms, along with our Privacy Policy, constitute the entire agreement between you and us regarding the use of the Site and Services.
